Privacy Policy


The Collins Coalition (CoCo) values the privacy of its members. We maintain information knowingly provided by members including: name, email address, and telephone number. The CoCo may use this information to better serve its community members and the CoCo community. If you are a community member or plan to be one and do not want the CoCo to contact you, please notify us at cocoscrabble.org/contact.

1. YOUR CONSENT

By using this Site, you agree to the terms of this Privacy Policy. Whenever you visit this Site, you consent to the collection, use, and disclosure of information in accordance with this Privacy Policy and any Terms of Use or other specific provisions of this website that the CoCo may present at the time information that it collects information from you. 

2. ACTIVE INFORMATION COLLECTION

Like many websites, the CoCo website actively collects information from its visitors both by asking them specific questions and by permitting them to communicate directly with us via email, feedback forms, social media and so forth. Some of the information that you submit may be personally identifiable information (that is, information that can be uniquely identified with you, such as your full name, mailing address, billing address, email address, phone number and so on).

Some areas of this Site may require you to submit information in order for you to benefit from the specified features or to participate in a particular activity, such as to register for a tournament. The CoCo will inform you at each information collection point what information is required and what information is optional.

3. CHILDREN’S PRIVACY

The CoCo website is a general audience site and is not targeted at children. We do not knowingly collect any personal information from children under the age of thirteen (in the United States) or under the age of sixteen (outside the United States) on the CoCo website or through CoCo tournament or club pages on the Woogles.io platform. Any personally identifiable information collected from children will be collected and handled in compliance with the Children's Online Privacy Protection Act of 1998 (15 U.S.C. 6501 et seq.).

The personal information that the CoCo may collect includes the full name, country of residence, phone number, home address, email address, parent/guardian’s name, parent/guardian’s phone number and email address, and emergency contact name and phone number of players who sign up for CoCo events or mailing lists. This information is collected directly from the individual through submission of a web-based sign-up form, or direct question posted in the chat on Woogles.io. The CoCo does not collect personal information passively through cookies or other passive collection means. The CoCo uses the personal information it collects to contact players concerning their participation in CoCo events. The CoCo may also use the personal information to disseminate news, blog posts, and other information about the CoCo to persons who sign up to receive emails from the CoCo. The CoCo may share personal information related to entrants, parent/guardians of players, and emergency contacts for participants in the Word Cup Main Event and Early Bird tournaments with the Word Game Players’ Organization. The CoCo does not share personal information with third party operators.

Information for Parents and Guardians: If a child under the age of 13 (in the United States) or 16 (outside the United States) has provided personal data to us through the CoCo website without verifiable parental consent, the CoCo will use commercially reasonable means to contact the child’s parent or guardian to seek authorization to maintain and use the child’s personal information. The CoCo may use the child’s contact information for this initial contact, for the sole purpose of obtaining verification of consent from the child’s parent or guardian. Upon request from a parent or guardian, we will use commercially reasonable efforts to delete personal information collected from their child within a reasonable period of time, subject to applicable law and this Policy. The CoCo will not require a child to disclose more information than is reasonably necessary to participate in an activity. Parents and guardians can review their child’s personal information, direct the CoCo to delete it, and refuse to allow any further collection or use of the child’s information. Parents and guardians can restrict disclosure of their child’s personal information to third parties. Parents can exercise these rights by contacting us at info@cocoscrabble.org.

4. SHARING OF YOUR PERSONAL DATA

The CoCo does not disclose your personal data to any third parties, except (i) to manage the website and our database with the help of service providers (who are obligated to maintain its confidentiality); (ii) to send you communications about your interactions with us or about features of the Site;  including any future changes to this Policy; (iii) as needed to process payments you submit or refunds you receive via the CoCo’s Stripe and PayPal or other online merchant provider’s services; or (iv) as required by law or requested by governmental or law enforcement authorities, subpoena, court order or discovery request, or when we otherwise believe in good faith that such disclosure is appropriate to enforce our Terms of Service or in connection with any activity that may violate the law or the rights of others, threaten the safety or security of any person or property (including the Site) or expose us to liability.  The CoCo operates cocoscrabble.org. When you visit our site, our server recognizes your domain name, but not your email address unless you provide one.

To facilitate your participation in Scrabble tournament and club play, the CoCo may share with CoCo-affiliated tournament organizers and directors your player and member information, such as your name, city and state of residence, recent tournament participation, email address, and preferred method for receiving prize payments. The CoCo may also provide email and mailing addresses on request to its directors or affiliates for other legitimate reasons, such as to distribute unclaimed prizes to you. If you are a player or community member or plan to become one, and do not want your name or address to be available to any such affiliated persons or groups, please notify us.

The CoCo may share personal information related to entrants, parent/guardians of players, and emergency contacts for participants in the 2022 Word Cup Main Event and Early Bird tournaments with the Word Game Players’ Organization and its affiliated directors and organizers for Word Cup.

5. OTHER USES OF YOUR PERSONAL DATA

The CoCo does emailings on behalf of itself and its affiliates and possibly on behalf of third parties. You may unsubscribe from these emailings at any time by notifying us. If you provide your phone number or if the CoCo requests your phone number, the CoCo may contact you. If you do not want to be contacted by phone, you may notify us to be placed on a do not call list.

6. RETENTION OF PERSONAL DATA

We may retain your personal data for as long as is necessary to fulfill the purposes for which we have collected it, including for the purposes of satisfying any legal, regulatory, accounting, reporting, insurance, professional indemnity, internal policy or other requirements. We may anonymize your personal data so that it can no longer be associated with you for research or statistical purposes.  In such cases, we may use this information indefinitely without further notice to you.

7. CALIFORNIA PRIVACY RIGHTS AND “DO NOT TRACK” SIGNALS

The CoCo does not track its users over time or across third party websites to provide targeted advertising and therefore does not respond to Do Not Track (DNT) signals. Some third-party sites, however, do keep track of your browsing activities when they serve you content, which enables them to tailor what they present to you. If you are visiting such sites, certain web browsers allow you to set the DNT signal on your browser so that third parties (particularly advertisers) know that you do not want to be tracked. You can consult your web browser’s “help” feature for instructions on how to set the DNT signal.

Third parties that have content embedded on the CoCo website, such as a social feature, may set cookies on a user’s browser and/or obtain information about the fact that a web browser visited the CoCo website from a certain IP address. The CoCo does not control or monitor such practices. You should contact such third parties directly to opt out.

8. DONATIONS

In order to make a donation through the CoCo website or through a partner platform, such as PayPal or Venmo, you may be required to input your name, address, credit card information, and email address for yourself and any individual on behalf of whom you make the gift. The CoCo will use any personal data that you provide about yourself or another individual for the sole purpose of fulfilling your donation. By submitting personal data about others, you represent and warrant that you have full authority to do so. The CoCo may use your credit card information only for the purpose of processing your donation. We will not disclose credit card information except as necessary to process your donation or as required by law or legal process, and we do not store credit card information once your donation has been processed.

9. CALIFORNIA PRIVACY RIGHTS

This section provides additional details about the personal information the CoCo collects about California consumers and the rights afforded to them under the California Consumer Privacy Act or (CCPA). Details about the personal information we collect appears in the previous sections, including information on the types of third parties with whom we share this information. The CoCo does not sell the personal information we collect, and we will not sell it without providing a right to opt out. Subject to certain limitations, the CCPA provides California consumers with the right to request to know more details about the categories or specific pieces of personal information the CoCo collect-, including how the CoCouses and discloses this information. The CCPA also provides California consumers with the right to delete their personal information, to opt out of any “sales” that may be occurring, and to not be discriminated against for exercising these rights. California consumers may make a request pursuant to their CCPA rights by contacting the CoCo. We may take steps to verify your identity and your request using the information associated with your account. California consumers may designate an authorized agent to exercise these rights on their behalf.

10. COVID-19 VACCINATION INFORMATION

Players wishing to play in in-person tournaments may be required to attest to being fully vaccinated and may be required to present proof of COVID-19 vaccination. We will share your vaccination status only with certified CoCo directors and only when you sign up for one of their tournaments. You may contact us at any time at info@cocoscrabble.org to request deletion of your vaccination information from our databases.

11. PHOTO WAIVER AND RELEASE

By registering for a CoCo tournament, you grant to the Collins Coalition irrevocably and absolutely all right, title and interest in any and all photographs, video or audio recordings of you, including your image or voice, whether original or altered in any way, (collectively “Photographs”), that are made by the Collins Coalition during CoCo tournaments. This release includes the right for the CoCo to use the Photographs for any purpose whatsoever in any form and to any royalties, proceeds or other benefits derived from them, including use on the CoCo website and in marketing materials. We understand that some players may have privacy or other concerns with use of photos of them being posted online. IF YOU PREFER TO OPT OF THE PHOTO WAIVER AND RELEASE or if you wish to have any photo of you removed from the website, contact us at info@cocoscrabble.org.

12. USERS OUTSIDE THE UNITED STATES

If you choose to use this website from outside the United States, you are consenting to the collection, storage, processing, and transfer of your information in and to the United States, pursuant to the laws of the United States. 

13. JURISDICTION

Any legal suit, action or proceeding arising out of, or related to, this Privacy Policy or the CoCo website shall be instituted exclusively in the federal courts of the United States or the courts of the State of Washington, in each case located in the City of Seattle and County of King, provided that we retain the right to bring any suit, action or proceeding against you for breach of this Privacy Policy in your country of residence or any other relevant country. You agree to waive any and all objections to the exercise of jurisdiction over you by such courts and to venue in such courts 

14. NOTIFICATION

We may amend our policy from time to time; please review it periodically. We will provide electronic notice by posting any changes on our website at cocoscrabble.org/privacy-policy.
